What You’ll Do (but is not limited to)

  • Directly supports and reports to CEO; Proactively manage communication, and respond to urgent inquiries from internal / external stakeholders on the executives’ behalf
  • Act as a liaison for assigned executives relaying and exchanging information with others including Board members, investors, senior leaders, customers and clients, and other organizations or constituents
  • Providing support for C-suite – Process and track expenses in a timely manner for the executives
  • Provide high-level Company Wide administrative support across the organization with employees of all levels and in all departments
  • Manage and maintain multiple schedules; coordinate travel on as-needed basis. Strategic and proactive management of complex and varying day-to-day schedules, using google calendar
  • Manage daily, weekly, monthly and quarterly calendars for the multiple executives, including coordination of complex executive meetings, BOD Meetings, client meetings, Company Wide all hands, etc.
  • Create, route, and process correspondence while exercising a high degree of confidentiality
  • Prepare, process, and execute documents for Finance and Legal Departments via Docusign
  • Prepare presentations (Company All Hands), as well as maintain files, records, and correspondence for meetings
  • Setting up and management of virtual meetings and tools e.g., Zoom
  • Work with IT to ensure that all equipment needs are met for Executives (computers, printers, network, phones, etc.)
  • Coordinate logistics for Senior Executive Visitors
  • Arrange travel, accommodations, itineraries, and all correspondence related to arrangements as needed. Plan, organize and implement events, such as meetings, business luncheons, or client dinners. Book appropriate domestic and international travel within travel policy taking into account travel Visas, costs and proper documentation
  • Assist the Recruiting Department, by coordinating candidate travel, scheduling interviews across Company Wide departments. In addition, working with external recruiting agencies to schedule, and coordinate directly with High Level Candidates

Your Qualifications 

  • Significant executive support experience, including supporting C-level executives; Board experience is highly-preferred
  • Expert proficiency with Microsoft office and desktop publishing software; ability to design and edit graphic presentations and materials
  • Technical proficiency and problem-solving skills related to; IT infrastructure; IT support and troubleshooting; and cloud-based environments (web-based applications)
  • Strong verbal and written communication skills
  • Exceptional organization skills and impeccable attention to detail
  • High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners
  • Make appropriate, informed decisions regarding priorities and available time
  • Ability to complete a high volume of tasks and projects with little or no guidance
  • Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround
  • Able to maintain a high level of integrity and discretion in handling confidential information
  • Excellent judgement is essential
  • Ability to switch gears at a moment’s notice
